Project Timelines, Extensions & Communication Expectations

Learn how Cirface manages project pacing, extensions, and shared accountability with clients.

Project timelines are collaboratively managed between the Cirface Project Manager and your internal stakeholders. Staying on track requires shared effort — and here’s what you need to know:


Weekly Engagement Is Required
Clients should dedicate time each week to meet with the Cirface team, respond to feedback requests, and move decisions forward. This is essential for meeting deadlines.

Response Expectations
You can expect a response from Cirface within 1 business day. In return, clients are expected to reply to Cirface emails or feedback requests in a timely manner to avoid blockers.

How We Track Time
Cirface allocates hours to:

  • Meetings (group or 1:1)

  • Email and project communication

  • Discovery, design, and implementation work performed offline by your consultant
    We do not provide detailed hour-by-hour reports.


Extensions & Grace Periods
Projects include a built-in two-week grace period beyond the SOW completion date if additional time is needed — as long as it’s requested and approved before that date. After that, a formal change order is required to continue work.

How to Request a Change Order:
Contact your Cirface PM or Solutions Engineer and we’ll initiate the paperwork. For major shifts in deliverables or scope, a new SOW may be created instead.
