At Cirface, every project follows a clearly structured delivery model built around our 4D FrameworkDiscover, Design, Deploy, Document. To keep your team informed and aligned, we use a phased milestone approach paired with consistent status updates.

Here’s how we track progress, what you can expect at each phase, and how we’ll communicate along the way.

Each project milestone corresponds to a key delivery phase:

Week 1: Onboarding Kickoff

  • Stakeholders introduced

  • SOW reviewed and confirmed

  • Access granted (Asana, shared folders, etc.)

  • Strategic planning begins

Weeks 2–3: Discovery & Workflow Mapping

  • Live discovery sessions complete

  • Workflow recordings and submission forms reviewed

  • Pain points and goals documented

  • Initial sandbox ideas discussed

Weeks 4–5: Design & Testing

  • Draft workflows built in sandbox

  • Testing and feedback sessions held

  • Optimization plan delivered

  • Adjustments made based on SME input

Weeks 6–8: Deploy & Enable

  • Workflows rolled out in live environment

  • Training sessions delivered (basic, advanced, executive)

  • Adoption monitored with live status check-ins

  • Final tweaks made pre-Go-Live

Week 9+: Documentation & Support

  • SOPs created and shared

  • Admin conventions implemented

  • Monthly support begins (if enrolled)

  • Post-launch updates and coaching

You’ll receive updates through:

  • Email Recaps from your Project Manager (biweekly or weekly)

  • Check-In Meetings at key milestones or when feedback is needed

  • Project Workspace Notes (if shared Asana space is used)

  • Optional Slack check-ins (for support-tier clients)

Each update includes:

  • What was completed

  • What’s happening next

  • What we need from you (if anything)

  • Any blockers or changes in scope
