Managing Security Groups and Permissions
Understand how to manage user roles and permissions in Asana to ensure secure and efficient collaboration within your organization.
Overview
Asana does not utilize traditional "security groups" as seen in some other platforms. Instead, it offers a combination of user roles and permission settings to control access and maintain security within your organization.
User Roles in Asana
Asana defines several user roles, each with specific permissions:
-
Super Admins: Have the highest level of access, including managing security settings, user provisioning, and organization-wide controls.
-
Admins: Can manage users, teams, and certain security settings but have fewer privileges than Super Admins.
-
Members: Regular users who can create and manage tasks and projects they have access to.
-
Guests: External users with limited access, typically restricted to specific projects or tasks they've been invited to.
Permission Settings
Permissions in Asana are managed at various levels:
-
Project-Level Permissions: Control who can access and edit projects. Options include:
-
Task-Level Permissions: Inherited from project settings but can be adjusted for specific tasks.
-
Team-Level Permissions: Determine who can join teams and access associated projects.
Managing Access
To manage user roles and permissions:
-
Access the Admin Console: Super Admins and Admins can navigate to the Admin Console to manage users and settings.
-
Adjust Team Settings: Modify team privacy settings to control who can join and view team projects.
-
Set Project Permissions: When creating or editing a project, choose the appropriate privacy level to control access.
-
Manage Guest Access: Invite external users as Guests and limit their access to specific projects or tasks.
Considerations
-
No Traditional Security Groups: Asana's permission model does not include traditional security groups. Access is managed through roles and specific permission settings.
-
Role Assignment: Assign appropriate roles to users based on their responsibilities to maintain security and efficiency.
-
Regular Reviews: Periodically review user roles and permissions to ensure they align with current organizational needs.
