Enabling View-Only vs Full Licenses

Understand how to assign view-only or full licenses in Asana to manage user access and optimize costs.

Overview

Asana provides the ability to assign either view-only or full licenses, offering organizations a way to manage access levels based on specific roles. This functionality is available to customers on the Enterprise and Enterprise+ tiers and helps balance security, visibility, and cost efficiency across teams.


View-Only Licenses

View-only licenses allow users to access Asana content without the ability to edit or interact with tasks and projects. These licenses are ideal for stakeholders who need visibility into workflows and progress but are not active contributors.

Key Features:

  • Users can view projects, tasks, portfolios, and dashboards.

  • No ability to create, edit, comment on, or assign tasks.

  • Unlimited view-only licenses available for Enterprise and Enterprise+ customers.

  • Supports cost-effective access for executive stakeholders or cross-functional reviewers.


Full Licenses

Full licenses grant users complete access to Asana’s features and functionality. These users are active participants in project execution, collaboration, and planning.

Key Features:

  • Ability to create, assign, and manage tasks and projects.

  • Access to custom fields, forms, automation rules, and advanced integrations.

  • Essential for project managers, team leads, contributors, and admins.


How to Assign or Modify License Types

To manage license types:

  1. Go to the Admin Console in Asana.

  2. Click on the Members tab.

  3. Locate the user in your directory.

  4. Select the appropriate license type—View-Only or Full.

For organizations using SCIM provisioning or bulk user management (e.g., via CSV), license types can also be managed through those channels.


Best Practices

  • Use view-only licenses for individuals who need access to reporting or visibility without contributing to tasks.

  • Reserve full licenses for active users who need to collaborate within Asana regularly.

  • Periodically review license assignments to ensure alignment with team roles and access requirements.
